Penny Appeal Australia (PAAu) has a commitment to the prevention of child abuse and to the protection of children. The abuse and exploitation of children happens in all countries and societies across the world. This policy sets out common values and principles and describes the steps that will be taken in meeting our commitment to protect children.
This policy applies to all staff and anyone representing PAAu, including full-time, part-time, international and national staff, and those engaged on short-term contracts such as consultants, researchers and photographers. Those “representing PAAu” refers to visitors, volunteers, board members and staff in partner agencies.

All complaints will be logged in the complaints register. PAAu will record the complaint and its supporting information. The complaint will also be assigned a unique identifier/number.

PAAu will acknowledge receipt of each complaint promptly (within 5 working days). PAAu will endeavour to fully respond within 10 working days. In complex situations where an immediate response is not possible, we will respond as quickly as possible, providing updates as required.
After acknowledging receipt of the complaint, PAAu will confirm whether the issue(s) raised in the complaint is/are within our control. We will consider the outcomes sought by the person making a complaint and, where there is more than one issue raised, determine whether each issue needs to be separately addressed.
When determining how a complaint will be managed, we will consider:
PAAu aims to resolve problems, correct mistakes and address concerns to reach a fair and reasonable outcome. Following assessment and investigation into the issues raised, PAAu will contact the person making the complaint and advise them:
The complaints register will record how the complaint was managed. It will log how the complaint was managed, the outcome of the complaint, outstanding actions and owners, and due dates.
PAAu will ensure that outcomes are properly implemented, monitored and reported to senior management and/or CEO, and/or the Chair of our governing body.
Board and committee members are expected to demonstrate their commitment to the organisation by unbroken attendance at the Board or committee on which they sit, except when prevented by unforeseeable events.
In order for the Board to facilitate accountability and transparency with stakeholders, there needs to be good internal documentation and reporting.
The CEO is responsible for ensuring that systems and processes are in place to capture, record and analyse the information necessary to enable the Board to perform its reporting functions. This includes reporting regularly to the Board on the operations of PAAu.
The CEO will also ensure that privacy and other policies are in place to govern the access and use of documents including donor records, staff records and minutes of general meetings, in accordance with the Board’s transparency and accountability policy.
Staff are responsible for implementing and adhering to the policies and procedures developed by the CEO to support the organisation’s transparency and accountability obligations.

NGOs are agencies which act independently from governments. We therefore formulate our own policies and implementation strategies and do not seek to implement the policy of any government, except in so far as it coincides with our own independent policy. We will never knowingly – or through negligence – allow ourselves, or our employees, to be used to gather information of a political, military or economically sensitive nature for governments or other bodies that may serve purposes other than those which are strictly humanitarian, nor will we act as instruments of foreign policy of donor governments. We will use the assistance we receive to respond to needs and this assistance should not be driven by the need to dispose of donor commodity surpluses, nor by the political interest of any particular donor. We value and promote the voluntary giving of labour and finances by concerned individuals to support our work and recognise the independence of action promoted by such voluntary motivation. In order to protect our independence we will seek to avoid dependence upon a single funding source.

Humanitarian aid will be given according to the need of individuals, families and communities. We affirm that assistance will not be dependent on the adherence of the recipients to those opinions. We will not link the promise, delivery or distribution of assistance to the embracing or acceptance of a particular political or religious creed.
